Creating a project step by step

From an empty form to a recruitment ready to receive candidates.

A project is one recruitment. Before you start taking candidates, you need to describe it and set up its process.

1. Open the new project form

On the project list click Add project. The Description tab opens.

2. Fill in the description

Two names do different jobs, and they are worth keeping apart:

  • Project name — for internal use. This is what you see on the project list, so make it tell you which recruitment it is ("Backend Developer — Krakow — round 2").

  • Position name — goes into the job ad and into messages to candidates. This one should read the way you want a candidate to see it.

Then you fill in locations, employment type, salary range and the number of vacancies. All of these can be changed later.

"Project name" is at the top of the tab, and "Position name" is further down, in the "Job description" section below the project fields and tags.

3. Build the recruitment process

The Recruitment process tab is the list of stages a candidate will go through.

You have two routes: apply a ready-made stage template prepared by your administrator, or add stages by hand with Add stage.

Two things surprise people most often:

  • A template can only be applied while the project has no candidates. As soon as the first candidate lands on any stage, the template list stops being available — from then on you edit stages manually.

  • A template is copied once. Changing the template later in settings will not change projects that already exist.

4. Check the GDPR consents

The GDPR tab decides which consent you ask the candidate for and when its validity period starts counting. Set it now — it determines what the candidate sees in the form.

5. Add your team

In the Shared tab you add project participants.

You can give someone access to the whole project or only to selected stages — the latter is useful when a hiring manager should only see finalists.

After clicking "Add participant" you choose "Selected stages" or "Whole project and project management" in the window.

What next

The project is ready. Now open the board and start adding candidates.
