Duplicate candidates

How the system detects duplicates and what happens when you merge.

The same person can end up in the database several times — once from a job ad, once from a referral, once added by hand. The system watches for this automatically.

When the system merges by itself

If a new application has an identical email plus first and last name as an existing candidate, the system treats them as the same person and attaches the application to the existing profile. No second record is created.

When it asks you

On a partial match — the same phone number but a different email, say — the system does not guess. It marks the candidate with a possible-duplicate icon on the list and on the board.

Clicking it shows both profiles side by side and three possible answers: same person, different people, or not sure. That last option leaves the flag for later rather than forcing a decision on the spot.

What merging does

Merging combines into one profile:

  • participation in all projects,

  • form answers,

  • documents and CVs,

  • notes,

  • GDPR consents.

The history of both records is preserved, so you do not lose the fact that someone applied twice.

Before you merge

Check the dates and projects on both profiles. Two people sharing a name happens more often than you would think, and a merge cannot be pulled apart again in one click.
