You schedule meetings with candidates directly from Element, but the event is created in your Google or Microsoft calendar.
Connect a calendar first
Settings → Calendar synchronization. Without a connected calendar you cannot schedule a meeting — there is nowhere to save the event. The calendar connection is independent of the mailbox connection, so it has to be done separately.
Click "Synchronize" and choose Google or Office365.
Scheduling
You add a meeting from the candidate profile or their activity timeline. You give a time, a title and participants. The participant list suggests both system users and candidates.
Video calls
When creating an event you can tick to add a video call — Google Meet or Teams, depending on which calendar you have connected. The link is generated by the provider and goes into the invitation.
Invitation templates
You can prepare invitation templates in Settings. These are not email templates — they fill in the calendar event's title and description. Substitution happens the moment you pick the template, so you see the text straight away and can edit it.
You add a template in "Meeting invitation templates" with the "Add template" button.
Cancelling and rescheduling
Changing the time in Element updates the calendar event. The candidate can decline using the link in the invitation.
What the system cannot do
Worth knowing so you do not go looking:
it does not check your availability or suggest free slots,
it does not let a candidate pick a time themselves from a list,
it does not send its own .ics file — the invitation comes from the provider's calendar.
So you agree the time the classic way, by email or phone, and record the agreed meeting in Element.
