Calendars - synchronization and usage

You can connect Element with Office365 or Google e-mail and calendars accounts to communicate with candidates and other participants in recruitment processes more conveniently and faster. Thanks to the integration with calendars, you can also send meeting invitations, and Element will automatically generate a link to a Teams or Meet video call.

Below you can find the instructions for connecting and using the calendars in the Element. Connecting an e-mail account is done the same way for the most part.

Connecting the calendar (or e-mail) account to Element

To connect the calendar, go to system settings and then to the "Calendar synchronization" tab (in the case of e-mail synchronization, select the "Email synchronization" option)

To connect the calendar, go to the system settings and then to the "Calendar synchronization" tab

Now click the blue SYNCHRONIZE button and select Google or Office365, depending on what calendar you are using.

In the next step, Element will ask you to select the account assigned to the calendar you want to sync with.

After selecting the account, you may receive a warning that Google has not yet verified Element app. You do not need to worry about this notification (we are in the process of verification). Click the "Advanced" button.

Then confirm your choice by clicking "Go to: elementapp.ai (unsafe)."

In the last step, Element asks you to confirm that you agree to grant Element access to your calendar. Confirm your selection with the "Continue" button

When you click "Continue", the calendar will be connected Element dashboard will reappear. To check that the calendar is connected, go back to the system settings and the "Calendar synchronization" tab. There, you will see the account's email address assigned to your calendar and connection confirmation.

There is also an "Detach" button on the right side, which you can use to stop syncing at any time.

Create events (face-to-face meetings and video calls)

To create an event, e.g., a candidate's invitation to a meeting, click the calendar button available in the sidebar or in the candidate's profile:

After clicking the button, an event or task creation form will appear. Creating an event or task in an Item is similar to creating an event and task in Microsoft and Google calendars. It is worth paying attention to the possibility of automatically adding a link to Google Meet or Microsoft Teams to the event (google if we use the Google calendar, Teams if we use Office365) and adding reminders about the meeting in the form of email or text message.

Creating an event and adding the email addresses of its participants will automatically send invitations to all participants of the event. On timelines (yours or the candidate's) you will see others who confirmed participation in the event and the link to the video conversation (if added).

Of course, the events will also be visible on your calendar and that of everyone who received the invitation. Accepted changes to events will also be automatically updated in Element.

Events and tasks will appear in Google and Office365 calendars several dozen seconds after they are created in the system.

Change of events

Changes to events and tasks send email notifications. After accepting the change, the update will be visible in the Item.

Currently, you can edit events only in the user's timeline and, of course, in your calendar. The edit event button is visible with every task you create.

If another user created an event, then you can change this event (e.g., propose a different date) only in your Office365 or Google calendar. After approval, the change will also be visible in the Element.
