A few words in Element mean something narrower than intuition suggests. This list lets you read the rest of the help centre without guessing.
Project
One recruitment. It has its own process, its own application form and its own set of participants. There are three statuses: active, on hold and archived.
Stage
A column on the board and a step in the process: CV screening, interview, decision. Stages are defined per project.
Stage action
An automation attached to a stage. It fires when a candidate arrives at that stage, when they are rejected, or when they apply — and sends an email or SMS. An action can carry a delay measured in days, hours or minutes.
Stage template
A ready-made set of stages to drop into a new project. It is copied once — changing the template later does not touch projects that already exist.
Application form and preselection
The form is the questionnaire a candidate fills in. Preselection is the scoring of answers: you give each answer points, or mark it as disqualifying. The result is a hint for the recruiter — the system never rejects or moves anyone automatically.
Application link
A named address where candidates apply. The link's name becomes the candidate's source, so you know where they came from.
Field and tag
A field stores a value — text, a date, a number. A tag is a field whose values carry colours and are used for filtering and describing.
Access tag
A tag that additionally restricts visibility. A record with no tag from such a group is visible to everyone; a tagged record is visible only to people carrying the same tag. Candidates inherit the access tags of the projects they take part in.
Project participant
Someone added to a recruitment. They can have access to the whole project or only to selected stages.
Recommendation — three different meanings
This word means three things in Element, and they are worth telling apart:
Referral — the candidate came to you on someone's recommendation.
Rating — the thumbs up or down a recruiter or hiring manager gives a candidate.
Presenting to a client — putting a candidate forward to the company that commissioned the recruitment.
Anonymisation
Permanent removal of a candidate's personal data while keeping the statistics. Irreversible — the name is replaced, contact details are masked, employment history is cleared.
