Rejecting candidates and sending rejection messages

One by one or in bulk, with or without a message, and what happens to the card.

Written by Maciej Michalewski

Rejecting in Element marks a candidate rather than moving them somewhere else. That is worth understanding before you start.

Rejecting a single candidate

Hover the card and click the reject icon on the action bar. You can also use Alt+← in the CV preview.

The system asks for a rejection reason. It is a plain text field — there is no fixed list of reasons, so if you want to count them later, agree a set of standard phrases within your team.

What happens to the card

The card stays on its stage and is marked as rejected. No "Rejected" column appears.

To see rejected candidates, switch the view above the board to rejected or all. A rejected candidate can be restored to the process.

The rejection message

If the stage has an "after candidate rejection" action configured, the rejection message goes out automatically. Before anything is sent you will see a preview window where you can edit the text, delay the send, or remove it entirely.

If there is no such action and you still want to write something, send a message manually from the action bar on the card.

Rejecting in bulk

On a larger recruitment you do not click candidates one at a time:

  1. Go to the Candidates tab inside the project.

  2. Tick the checkboxes next to the people who are out.

  3. From the bulk actions choose reject.

You can send one rejection message to the whole selected group at the same time. You will see the wording before it goes out.

Before you reject in bulk

Check who is actually selected — a selection can cover more people than you see on screen if you used select-all earlier. A rejection message cannot be recalled once sent.
