Creating and editing user accounts

Who creates accounts, which fields are required, and where a new user gets their password.

Accounts are created under Settings → Users. The screen is called User management and only an administrator can see it. A recruiter does not have that tab and cannot reach it by URL.

A new account

The Add user button opens a dialog with six fields: first name, last name, username, email, role and interface language.

The username and the email must be unique across the whole system. If either is taken you will see it next to the field before you save.

You do not set the password

This is the most common question, and the answer is: nowhere. When creating an account you do not enter a password and will never see one. The system emails the new user a link where they set their own password.

Practical consequences:

  • the email has to be right the first time — a typo means the invitation goes nowhere,

  • you never pass passwords over the phone or a chat, because there is nothing to pass,

  • if the invitation did not arrive, check the recipient's spam folder, then report it to us.

The role

There are three: Admin, Recruiter and External User. One account has exactly one role. What each of them can do is covered in the article on roles.

You change the role later under Edit user, in the same dialog. You do not need to create a new account to promote a recruiter to administrator.

Superior

Users can be given a superior. This builds the reporting structure that reports are filtered by. To remove a superior, choose Without superior in the "Set superior" menu.

You set a superior with the people icon next to the account ("Set superior") and pick a person from the list.

Access tags

There is a separate Access tags action on each account. It decides which projects and candidates the user will not see at all. It only ever narrows, never widens: a missing tag in a restricting group cuts access off rather than opening it. The access tags article covers the whole mechanism.

Deleting an account

To delete, you have to type the word DELETE into the confirmation field. That barrier is deliberate — the account disappears along with its access.

Before deleting, consider whether removing project access would be enough. The activity history in the system is signed with people's names, and it is better if the authors of last year's notes remain recognisable.

Login trouble

  • You can log in with either the username or the email — both routes lead to the same account.

  • Letter case in the username matters. Create accounts with lowercase usernames, because "Jan.Kowalski" and "jan.kowalski" are not the same thing to the system, and an account created with capitals can end up unable to log in.

  • Ten failed attempts within fifteen minutes locks the account. The lock clears by itself; nothing needs resetting, it needs waiting.
