Running recruitment projects

Candidate sources

Candidates appear in the recruitment project in three ways:

  • applying for recruitment advertisements

  • applying via application links

  • manually finding a candidate in the internal candidate database

  • manually adding a candidate to the candidate database

ADDING CANDIDATES TO THE PROJECT

Candidates applying via the application form appear automatically in the project. However, you can add a candidate to a project manually.

In order to add a candidate to recruitment projects, you should manually search for this candidate in the candidate database and then use the add to project button:

After clicking the Add to project button, select the project and stage to which you want to add a candidate:

Entering an asterisk * in the search engine displays all recruitment projects.

MANAGE CANDIDATE IN THE PROJECT

Managing candidates in recruitment projects takes place in two tabs available in the projects: RECRUITMENT and CANDIDATES

The RECRUITMENT tab contains a list of candidates in the form of a "kanban" board, which shows the stages of the recruitment process and candidates at individual stages.

Each stage of the recruitment process may include both active and rejected candidates. The number of active and rejected candidates in a stage is shown under the stage name:

You can see the total number of candidates in the project, the number of active and rejected candidates, and view only active or only rejected candidates:

By hovering over the candidate card, the following information and actions are available:

  • job title and employer - as long as this information is visible on the candidate's profile

  • first name and last name

  • star icon, which is used to evaluate the candidate:

  • the form icon, which allows you to display the application form completed by the candidate

  • scoring, as long as the application form filled in by the candidate contained scored answers

  • adding notes

  • sending messages, if the user has turned on email synchronization

  • displaying the candidate's CV

  • rejection of the candidate, with the possibility of giving the reason for rejection

  • removing a candidate from the project

In addition, you can click on the candidate card. When you click on the right side of the screen, a panel will appear where additional information and actions will be available:

  • contact details

  • total number of recommendations

  • all notes added in the project along with the information who added the note and when all recruitment projects, up-to-date and archival in which the candidate is or has participated, along with information at what stage is in a given project

  • add action button

  • view change button

Note - sending emails and adding calendar events is available after email and calendar synchronization. Sending SMS is always available for all users. Please read more about sending SMS here:

Turn on project context option will filter out notes and activities added to the candidate in other recruitment projects so you can see notes and activities only from the project you are currently in. By default, the project context is turned off, and you can see all notes and activities from all projects.

After clicking on the ACTIONS tab on the candidate's side panel, you will see a list of all actions related to the candidate, along with information about who and when performed each action:

Both the STATUS, ACTIVITIES and CV tabs can be scrolled down if the information does not fit on the first screen.

Moving candidate between recruitment stages

You can change a candidate's recruitment stage by dragging the candidate from one stage to another. The candidate may be moved from any stage to any other stage. Moving a candidate from stage to stage will automatically record the new activity in the candidate's activity history and in reports.

Sending automatic messages when candidate changes recruitment stages.

You can add automatic messages to each recruitment stage. Sending such a message may be triggered by either moving a candidate to a stage or by rejecting a candidate. If the stage includes the automatic message, then after moving the candidate to such stage a window will pup up asking for confirmation of sending the message to the candidate:

After confirming (clicking YES) a candidate will be moved to the stage and a message will be sent to the email address specified in the message. Clicking NO will move the candidate to the stage without sending a message. Closing the windows by clicking X will undo the action, the candidate will not be transferred and the message will not be sent.

CANDIDATES tab

The candidates tab presents all candidates from the recruitment project in the form of a table resembling an excel table. The table offers the following options:

  • searching and filtering candidates in the project

  • sorting the candidates by table columns, e.g. by the date of the candidates' application or by the scores obtained on the application form

  • moreover, it is possible to select many candidates at the same time and perform actions on them. In the example below, we see the possibility of selecting candidates next to the candidate's name. After selecting the candidates, the multi action buttons (circled) will appear on the right side of the screen. Taking advantage of these actions will apply to all selected candidates

ACTIONS

The ACTIONS tab presents the complete history of activities performed in the recruitment project for all candidates in this project. Activities can be searched by any word, such as the name of a candidate. Activities can also be filtered, e.g. by viewing all notes added to candidates in a project.

FILES

In the FILES tab, you can add any files that may be useful during the recruitment process, e.g. questions to candidates.

REPORT

The REPORT tab presents indicators related to the recruitment project, such as the conversion of applicants to employees, the average number of new candidates daily and weekly, sources of candidates in the project and others.

FINISHING / CLOSING / ARCHIVING PROJECT

You can archive finished project in two ways.

Ones the project is archived, it disappears from the default project list and from reports default view.
