Automatic messages

The three messages the system sends by itself, and how to change them.

Written by Maciej Michalewski

The system sends candidates three messages without your involvement. An administrator sets the wording under Settings → Automatic emails.

Which messages

  • Thank you for applying: the candidate receives it right after submitting the form.

  • Candidate anonymization: sent when the candidate's data is anonymised.

  • Expiring GDPR consent: a reminder sent a set number of days before the consent ends.

Messages on a stage change and after a rejection are set up in the project, as stage actions.

Where they come from

Automatic messages are sent by the system from its own address, not from your mailbox. A candidate's reply, however, goes to the person whose action triggered the send — so the conversation comes back to the right recruiter.

A project setting switches off the global one

This is the behaviour that surprises people most. If you configure your own "on application" action in a specific project, the global application confirmation stops being sent in that project. You do not get two messages — you get only the project one.

Recipient limit

A single send covers at most 500 addresses. Larger campaigns have to be split into batches.

Before you switch them on

Read the default wording and match it to your tone. It is the first thing a candidate receives from your company, and the defaults are deliberately neutral.
