Project statuses: active, on hold, archived

How they differ, what shows on the list, and how to close a recruitment.

Written by Maciej Michalewski

A project has one of three statuses. There are no others — if you are looking for "finished" or "in preparation", those are states a project cannot hold.

Active

Normal work. The project takes candidates, sends messages, and counts as open in reports.

On hold

The recruitment is suspended but not closed — the client froze the budget, say. The project keeps its candidates and data, it just drops out of day-to-day work.

Archived

The recruitment is finished. The project disappears from the default list view and the data stays.

This is the moment the GDPR clock starts, if your administrator set the retention period to count from project closure. Archiving is therefore not a purely cosmetic tidy-up.

Where to change it

The status is changed from the project list or from the project header. By default the list shows only active projects.

On the list, hover over the project row and click the "Change status" icon. In the project settings, click the status next to the project name. Both open the "Change project status" window.

If a project has "disappeared", nine times out of ten it was archived and you are looking at the list with its default filter. Switch the filter to All.

Archiving versus deleting

These are two different things. Archiving hides the project and keeps the data. Deleting a project is an administrator operation and is irreversible.
